SCENTUAL RESERVE

Cancellation & Rescheduling Policy

Effective Date: October 9, 2026

Client-Initiated Cancellations

All payments made toward a confirmed Scentual Reserve reservation, including booking retainers, installment payments, and final balances, are nonrefundable when the client voluntarily cancels, except where required by applicable law or otherwise provided in the signed agreement.

This condition is disclosed before the client makes a payment and is expressly included in the booking agreement.

Written Cancellation Requests

Cancellation requests must be submitted to book@scentualreserve.com.

Include the client's name, scheduled event date, and booking reference if available.

Rescheduling Standard Events

Standard event bookings may be rescheduled one time within six months of the original event date, subject to availability, written approval, and the applicable agreement.

A requested date change is not confirmed until Scentual Reserve provides written confirmation.

Previously paid amounts may be transferred to an approved rescheduled event according to the signed agreement.

Promotional Bookings

Promotional, sale, or specially discounted reservations may have a 30-day rescheduling window, unless the applicable written offer provides otherwise.

A qualifying veterans discount alone does not trigger the promotional rescheduling restriction.

Additional Rescheduling Costs

Changes in event location, guest count, staffing, services, travel, or material requirements may result in additional charges.

Any additional costs will be communicated and approved before the revised booking is finalized.

Custom Fragrances and Products

Custom fragrance development, personalized labels, specialty packaging, and other made-to-order work may be nonrefundable once production begins, when disclosed and agreed to before payment.

Weather and Outdoor Events

Clients hosting outdoor experiences should arrange a suitable indoor alternative when necessary.

If weather or unsafe conditions prevent the event from proceeding, Scentual Reserve will review available rescheduling options under the booking agreement.

Emergencies and Events Beyond Reasonable Control

Natural disasters, emergencies, government restrictions, venue closures, and other circumstances beyond reasonable control may affect event performance.

Scentual Reserve and the client will communicate promptly to explore reasonable alternatives, subject to the agreement and applicable law.

Cancellation by Scentual Reserve

If Scentual Reserve cancels and cannot provide the contracted services for reasons within its control, the client will receive the remedies required under the agreement and applicable law, including refunds where appropriate.

The client-cancellation nonrefundability provision does not eliminate the client's legal remedies when Scentual Reserve fails to perform.
