Booking, Retainer & Payment Policy

Reservation Requests

Submitting an inquiry, completing an Experience Concierge recommendation, receiving a proposal, or discussing an available date does not establish a confirmed booking.

Event dates are reserved only after Scentual Reserve confirms availability, the applicable agreement is accepted, and the required payment is received.

Booking Retainer

Standard private and corporate event reservations require a 50% nonrefundable booking retainer, unless different terms are specified in the written proposal or contract.

The retainer secures the agreed event date and supports advance planning and preparation.

The retainer is credited toward the total contracted service price.

The nonrefundable nature of the retainer is disclosed before payment and remains subject to applicable law.

Specialty Experiences

Personal scent consultations, couples consultations, workshops, and other specialty services may require different reservation fees or payment arrangements.

All applicable charges will be disclosed before payment.

Final Payment

Unless otherwise specified in the signed agreement, the remaining balance for standard events is due seven calendar days before the scheduled event.

Bookings confirmed within seven days of the event may require full payment at the time of booking.

Scentual Reserve may withhold services for unpaid balances as permitted by the applicable agreement and law.

Additional Guests and Upgrades

Changes to guest counts, staffing, extended service hours, additional fragrance products, specialty packaging, or other services may result in additional charges.

All additional charges will be disclosed and approved before the corresponding services or products are provided.

Customization

Custom fragrances, personalized labels, specialty packaging, monograms, and made-to-order products may require additional preparation and production fees.

Applicable fees and nonrefundable custom-work charges will be disclosed before payment.

Venue and Travel Requirements

Clients are responsible for communicating venue access requirements, restrictions, electrical needs, setup limitations, and other relevant conditions.

Additional travel or logistical charges must be agreed upon before they are incurred.

Written Agreements

The signed booking agreement establishes the specific event services, price, guest count, date, and applicable conditions.

Where a signed agreement contains different applicable terms, the signed agreement controls to the extent permitted by law.
